1. Introduction and who we are
1.1 Medical Connect Africa Limited ("Medical Connect Africa", "we", "us" or "our") is committed to protecting your personal information and your privacy. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the rights you have.
1.2 We are a private company limited by shares incorporated in the United Republic of Tanzania under registration number 203108648, with our registered office at Ward Olturoto, near Ilbotu Secondary School, P.O. Box 287, Arusha, Tanzania. For the purpose of data protection law, we are the data controller responsible for your personal information.

2. Scope and the law we follow
2.1 This Policy applies to Volunteers, applicants and anyone who contacts us or uses our services, wherever you are in the world.
2.2 We process personal information in accordance with the Personal Data Protection Act, 2022 of the United Republic of Tanzania. Where you are located in the European Union or the United Kingdom, we also seek to comply with the General Data Protection Regulation (GDPR) and equivalent United Kingdom law.
2.3 This Policy forms part of our Terms and Conditions of Participation and should be read together with them.
3. The information we collect
3.1 Depending on your relationship with us, we may collect the following categories of personal information:
(a) identity information, such as your name, date of birth, gender and nationality;
(b) contact information, such as your email address, telephone number and postal address;
(c) travel and identification information, such as passport details, visa information and flight details;
(d) emergency contact information for the person you ask us to contact in an emergency;
(e) health and dietary information, such as allergies, dietary requirements and any medical condition you tell us about, which is sensitive personal information (see section 6);
(f) qualification and professional information, such as your area of study, profession, and any professional registration relevant to your Placement;
(g) financial information, such as the bank details used to pay your Program fee and records of payments;
(h) images and recordings, such as photographs and video taken during the Program; and
(i) correspondence and other information you provide when you contact us or take part in a Program.
4. How we collect your information
4.1 We collect most information directly from you, for example when you contact us, attend an introductory meeting, complete a booking or health form, make a payment, or communicate with us by email or messaging.
4.2 We may also generate information about you during your Program, such as your schedule, and photographs or video taken during activities.
5. How we use your information and our lawful basis
5.1 We use your personal information for the following purposes, relying on the lawful basis shown:
(a) to arrange and provide your Program, including accommodation, meals, transfers and orientation, on the basis of performing our contract with you;
(b) to cater for you safely, including managing allergies and dietary needs, on the basis of your consent and to protect your vital interests;
(c) to assist in arranging your Placement and to share necessary information with the Host Institution, on the basis of performing our contract with you;
(d) to respond to emergencies and arrange or assist with medical treatment, on the basis of protecting your vital interests;
(e) to take payment and keep financial records, on the basis of performing our contract and complying with our legal obligations;
(f) to keep you and others safe and to meet our safeguarding responsibilities, on the basis of our legitimate interests and legal obligations;
(g) to use images for marketing and promotion, on the basis of your consent, which you may withdraw at any time (see section 7); and
(h) to comply with the law and to establish, exercise or defend legal claims, on the basis of our legal obligations and legitimate interests.
6. Sensitive personal information
6.1 Health and medical information is sensitive personal information. Under the Personal Data Protection Act, 2022, we process sensitive personal information only with your prior written consent, or where the law otherwise permits, such as to protect your vital interests in an emergency.
6.2 You do not have to provide health information, but if you do not, we may be unable to cater for you safely or to support you properly during your Program.
7. Marketing and images
7.1 With your consent, given when you accept our Terms and Conditions, we may use photographs and video that include you for marketing, promotional, educational and social media purposes.
7.2 You may withdraw this consent at any time by emailing medicalconnectafrica@gmail.com. We will then stop using new material featuring you from the date of your request. Withdrawing consent does not affect use that has already taken place.
8. Who we share your information with
8.1 We share personal information only where necessary, and only with:
(a) Host Institutions, such as hospitals, clinics, schools, nurseries and non-governmental organisations, to arrange and run your Placement;
(b) our staff and service providers, such as accommodation staff, catering and drivers, to provide your Program;
(c) medical providers, insurers and emergency services, where needed to respond to an emergency;
(d) banks and payment providers, to process payments;
(e) professional advisers, such as our lawyers and accountants, where necessary; and
(f) public authorities, where we are required to share information by law or to protect a child or vulnerable person.
8.2 We do not sell your personal information to anyone.
9. International transfers
9.1 Because our Volunteers come from around the world and we operate in Tanzania, your personal information will be transferred to and stored in Tanzania, and may be processed using cloud services located in other countries.
9.2 Where we transfer personal information across borders, we take reasonable steps to ensure it is protected in line with this Policy and applicable data protection law.
10. How we store and protect your information
10.1 We store personal information securely, including in secure cloud storage provided by reputable providers such as Google. Access to your information is limited to those who need it to carry out their role.
10.2 We use reasonable technical and organisational measures to protect your personal information against loss, misuse, unauthorised access and disclosure. No system can be guaranteed to be completely secure, and you share information with us at your own risk.
11. How long we keep your information
11.1 We keep your personal information for as long as necessary to provide your Program and to meet our legal, accounting and safeguarding obligations.
11.2 Financial and booking records are generally kept for the period required by Tanzanian tax and company law. Health information is kept only for as long as needed for your Program and is then deleted or anonymised. When information is no longer needed, we delete or anonymise it.
12. Your rights
12.1 Subject to applicable law, you have the right to:
(a) ask for access to the personal information we hold about you;
(b) ask us to correct information that is inaccurate or incomplete;
(c) ask us to delete your information in certain circumstances;
(d) ask us to restrict or object to how we use your information; and
(e) withdraw your consent at any time where we rely on consent.
12.2 To exercise any of these rights, please contact us at medicalconnectafrica@gmail.com. We may need to verify your identity before we act on your request.
13. Complaints
13.1 If you are concerned about how we handle your personal information, please contact us first so that we can try to resolve the matter.
13.2 You also have the right to complain to the Personal Data Protection Commission in Tanzania. If you are in the European Union or the United Kingdom, you may also complain to your local data protection authority.
14. Children
14.1 Our Programs are for adults aged 18 and over, and we do not knowingly collect personal information from Volunteers under the age of 18. Where children or patients appear in photographs or video, additional consent and safeguarding requirements apply under our Safeguarding Policy.
15. Our website and cookies
15.1 Our website is provided through a third-party platform, which may use cookies and similar technologies to help the site function and to collect basic usage information. You can control cookies through your browser settings.
16. Changes to this Policy
16.1 We may update this Policy from time to time. The current version will be published on our website, and the version that applies is the one in force at the time we deal with your personal information.
